Terms and Conditions
Welcome to Education & Art Studio. These Terms & Conditions outline the expectations, commitments, and policies for families booking sessions. Please read carefully before booking. By confirming a booking, you agree to these Terms.

1. General Information
Education & Art Studio provides educational and creative sessions for children and young people.
Academic sessions delivered in person take place in the home-based learning space known as The Home Ed Hub, located in Swanage.
Sessions are taught by a qualified teacher and are designed to be engaging, creative, and structured. They are not a replacement for full-time schooling.
Parents/legal guardians remain responsible for their child’s overall education, as required by UK law.

2. Bookings & Payments
Bookings must be made in advance via email or through the website.
Invoices are issued at the start of each month (or prior to block bookings), and payment must be made in advance to secure your child’s place.
Late or non-payment may result in the withdrawal of your child’s place.
Block bookings are non-refundable once sessions have commenced.

3. Cancellations & Missed Sessions
If your child cannot attend due to illness or unforeseen circumstances, missed sessions may be carried forward where possible, subject to availability.
If Education & Art Studio needs to cancel a session (for example, due to illness or emergency), an alternative date will be offered or credit applied to the next invoice.
Refunds are not offered for missed sessions unless the session is cancelled by Education & Art Studio.

4. Session Information
Group sizes are intentionally kept small to allow for individual attention. Maximum numbers will not be exceeded.
Sessions are held either:
• In person at The Home Ed Hub (a home-based studio adapted for small group learning in Swanage), or
• Online via Zoom (links provided in advance).
Parents/carers must ensure children arrive promptly or log in on time with any required materials.

5. Safeguarding & Conduct
Education & Art Studio is committed to providing a safe, inclusive, and respectful learning environment.
Children are expected to treat staff, other learners, and resources with respect.
For in-person sessions, parents/carers must drop off and collect children promptly at agreed times.
For online sessions, parents/carers must ensure appropriate supervision and a safe working environment.
Any safeguarding concerns will be managed in line with local safeguarding procedures (Dorset Council).

6. Materials & Resources
Core learning materials (exercise books, worksheets, practical resources, online materials) are provided.
Occasionally, families may be asked to provide simple household items for specific activities (advance notice will be given).
Children attending in-person sessions do not need to bring materials unless advised.

7. Online Learning
Families must ensure access to a suitable device, reliable internet connection, and Zoom for online sessions.
Parents remain responsible for supervising their child’s online participation.
Sessions must not be recorded, shared, or redistributed without prior written permission.

8. Health & Safety (In-Person Sessions)
The Home Ed Hub is a home-based learning environment adapted for educational use. Appropriate safety measures and risk assessments are in place.
Parents must inform Education & Art Studio of any medical conditions, allergies, or additional needs prior to sessions beginning.
Children who are unwell should not attend in-person sessions.

9. Data Protection & Privacy
Personal information (such as names, contact details, and relevant medical information) is collected solely for the safe and effective running of sessions.
Data is stored securely and will not be shared with third parties without consent, except where required by law (for example, safeguarding concerns).

10. CCTV
For safeguarding and security purposes, CCTV operates within the main teaching area of The Home Ed Hub (home-based studio in Swanage).
The system is in place to support the safety of children, families, and the tutor. It is not used for general monitoring or assessment purposes.
Key points:
• Only the tutor has access to the footage.
• Footage is stored securely.
• Recordings are retained for a limited period and then automatically deleted.
• Footage will only be reviewed if required for safeguarding, safety, or legal reasons.
• Footage will not be shared with third parties unless required by law (for example, safeguarding investigations or police requests).
By attending in-person sessions at The Home Ed Hub, families acknowledge and consent to the presence of CCTV for safeguarding and security purposes.

10. Changes to Terms & Conditions
Education & Art Studio reserves the right to update these Terms & Conditions at any time. Families will be notified of any significant changes in advance.

Workshops
Workshop Registration & Payment
- All workshops require advance registration. Spaces are limited and allocated on a first-come, first-served basis.
- Full payment is required at the time of booking to secure your spot.
- Payments can be made online via our website

Cancellations & Refunds
- If you need to cancel your registration, a full refund will be provided if cancellation is made at least 7 days before the workshop date.
- Cancellations made within 7 days of the workshop are non-refundable. However, you may transfer your spot to someone else.
- In the event of insufficient registrations or unforeseen circumstances, we reserve the right to cancel the workshop. In this case, participants will receive a full refund.

Arrival & Punctuality
- Please arrive 10-15 minutes before the start of the workshop to allow time for settling in. Workshops will start promptly at the scheduled time.
- Late arrivals may miss important instructions and disrupt the session.
Materials & Tools
- All materials and tools required for the workshop will be provided unless stated otherwise.
- Please handle all tools and materials with care. Any damages to equipment caused by misuse may incur a charge.

Safety & Conduct
- For safety reasons, please follow all instructions given by the instructor.
- Workshops are intended to be a friendly, inclusive, and creative environment. We ask that all participants respect each other and the instructor during the session.
Photography & Media
- We may take photographs or videos during the workshop for promotional purposes. By attending, you agree to appear in these images unless you inform us otherwise before the workshop begins.
Allergy Information
- Some workshops may include food or drink, such as tea, coffee, or snacks. If you have any food allergies or dietary restrictions, please inform us in advance so we can accommodate your needs.
- Please note that we cannot guarantee a completely allergen-free environment.

Custom Orders
- If the workshop includes custom orders (e.g., professionally printed cards), orders will be processed after the workshop, with estimated delivery times provided at the event.
- Bulk orders can be placed, and pricing will be discussed during or after the workshop.

Liability
- We are not liable for any personal injury, loss, or damage to personal belongings during the workshop. By participating, you agree to assume full responsibility for your actions.
